How to get started
Set your password, sign in, and get your first answer in about five minutes.
PhiBox answers questions from your own documents. You add the documents once, then ask questions in your own words and get answers drawn from them. Depending on how the project is configured, an answer can also name the documents it used.
This page takes you from an invitation email to your first answer. It should take about five minutes.
Before you begin
You need an invitation email from whoever set up PhiBox for your organisation, usually an administrator on your own team. There is no self sign-up: accounts can only be created by an administrator, so if no invitation has arrived, they are the person to ask. Everything else is in the browser, there is nothing to install.
Step 1: Choose your password
- Open the invitation email and click the link inside it.
- On the Choose your password page, type a password and then type it again to confirm it.
- Click Set password and continue.
Nobody else, including your administrator, can see or set your password.
Good to know The invitation link works once and then expires. If it has already been used or is too old, you will see This link cannot be used. If needed ask your administrator to send a new invitation.
Step 2: Sign in
- Go to the sign-in page.
- Enter the email address your invitation was sent to.
- Enter the password you just chose and click Sign in.
If you see Invalid email or password, check the address is the one the invitation went to, and that the password is the one you set on the invitation page rather than a password you use elsewhere.
Step 3: Look around
Once you are signed in, the bar across the top of every screen is how you move around:
- Home: the main workspace, where you ask questions. It is the screen you will spend most of your time on.
- Admin: projects, documents, teams and settings. Everyone can open it, but the sections for managing users, teams and access keys only appear if your access key is an administrator one; if it is not, you can skip it.
- Feedback: review the feedback people have given on answers.
- Agents: build and run agents: saved sequences of steps that do a longer job for you. See How to create an agent.
- Your sign-out button sits at the right-hand end of the same bar.
On Home you will find three cards across the top. They decide what the assistant works with, and you can select the one that aligns with your objectives from the dropdowns:

| Project | The workspace you are asking about. Each project has its own documents, so this choice decides which ones the assistant searches. |
| Prompt | The wording used to ask your question. Every project comes with one already chosen, marked default. |
| Mode | Whether you hold a conversation or ask a single question. Chat v5 is the one to start with. The list also holds entries kept for older set-ups and for particular customers; none of them apply to you. |
Below the cards is the chat itself: your past conversations run down the left, and the conversation you have open fills the rest of the screen.
Step 4: Your first five minutes
- In the Project card, pick a project. PhiBox remembers your choice for next time.
- Leave Prompt as it is. The one marked default is the wording your administrator set up for this project.
- Leave Mode on Chat v5.
- Click New chat at the top of the list on the left.
- If suggested questions appear on the empty chat screen, click one, they were written for this project and are the quickest way to see what it can do. Otherwise type a question of your own in the Type your question... box and press Enter.
What to expect While the assistant works, the question box shows Searching in files..., and small labels appear above the answer as it goes: Searching files, Loading files, and others. Each label is one step the assistant actually took, so the ones you see change from question to question, and depend on what the project and prompt let the assistant do. The answer itself arrives a few words at a time, so you can start reading before it has finished.
If a project or a document is missing
What you can open is decided by your access key: it sets which teams you belong to, and therefore which projects appear in the Project card. If a project you expected is not listed, nothing has gone wrong on your side, ask the administrator who invited you which teams your account belongs to.
